The responsibilities of the Joint Controllers are regulated by an agreement pursuant to Article 26 of Regulation (EU) 2016/679 of the European Parliament and of the Council (“GDPR”).

The Joint Controllers have not appointed a Data Protection Officer, as they are not obliged to appoint one pursuant to Article 37 of the GDPR.



Scope of Data Processing

Data processing: Technical operation and security of the Website

Scope of processed personal data: IP address, browser and device data, system and access log data, technical details of the visit

Purpose of data processing: Ensuring the operation, availability, and IT security of the Website, troubleshooting, prevention and investigation of abuses

Legal basis for data processing: Article 6(1)(f) GDPR: Legitimate interest of the Joint Controllers

Retention period: As a general rule, up to 30 days; in the event of a security incident or legal claim, for as long as necessary



Data processing: Event registration and organization of participation, when carried out via the Website

Scope of processed personal data: Name, e-mail address, phone number, organization, number of participants, choice of event, registration information, billing details if necessary

Purpose of data processing: Receiving and managing registrations for events, confirming registrations, keeping records of participants, organizing and conducting events, keeping contact regarding participation, and – where relevant – fulfilling billing obligations

Legal basis for data processing: Article 6(1)(b) GDPR: Performance of a contract or steps prior to entering into a contract

Retention period: 1 year from the conclusion of the event; 8 years in the case of accounting documents



Data processing: Newsletter

Scope of processed personal data: Name, e-mail address

Purpose of data processing: Sending news, events, programs, and related information electronically

Legal basis for data processing: Article 6(1)(a) GDPR: Consent

Retention period: Until withdrawal of consent, or following withdrawal, for the period necessary to prove the fact and time of withdrawal



Data processing: Event photography and video recordings, if created

Scope of processed personal data: Image, voice, location and time of recording, fact of participation in the event

Purpose of data processing: Documenting the event, presenting and promoting programs on the Website, social media platforms, publications, or grant reports

Legal basis for data processing: Article 6(1)(f) GDPR: Legitimate interest in documenting and communicating the event; in the case of individual, highlighted, or close-up portrait photos, consent if circumstances warrant it

Retention period: For the duration of the usability of the recording for communication purposes, or until the evaluation of an objection; in case of archiving, for the necessary period



Data processing: Statistical, preference, and marketing cookies, if used

Scope of processed personal data: Cookie IDs, IP address, browsing and usage data, device data

Purpose of data processing: Measuring traffic, developing the Website, remembering user preferences, measuring or personalizing campaigns

Legal basis for data processing: Article 6(1)(a) GDPR: Consent

Retention period: For the lifespan of the respective cookie or until withdrawal of consent

Joint Data Processing

Edit jointly determines the purposes and essential conditions of the data processing activities described in this privacy notice. Edit is entitled to access personal data to the extent necessary to perform its duties. Data subjects may exercise their rights against any of the joint controllers.

The Joint Controllers do not apply automated decision-making or profiling concerning data subjects that would produce legal effects concerning them or similarly significantly affect them.



Data Processors, Recipients, and Data Transfers

The Joint Controllers may utilize IT, hosting, communication, and other professional service providers for the operation of the website, communication, and event organization. Personal data may also be transferred to authorities, courts, or other authorized entities pursuant to applicable laws.

The Joint Controllers only engage data processors providing sufficient guarantees to meet the requirements of applicable legislation. The data processor may process personal data solely based on the documented instructions of the Joint Controllers, subject to an appropriate data processing agreement.

The Joint Controllers will respond to the request without undue delay, generally within one month. If necessary, this period may be extended by two further months; the Joint Controllers will inform the data subject accordingly.

In the case of data processing based on legitimate interest, you have the right to object to the processing of your personal data. In such cases, the Joint Controllers will terminate the data processing unless they demonstrate compelling legitimate grounds for the processing which override your interests, rights, or which relate to the establishment, exercise, or defense of legal claims.

You may unsubscribe from the newsletter at any time without justification by sending an e-mail to the e-mail address of the Joint Controllers listed in section 1.
